What AI actually does with a purchase bill
Purchase bills are where most Tally automation starts paying back, because the work is high volume and almost entirely typing. An AI bill reader does four things in sequence, and only the last one needs a person.
- Reads the document. Text recognition turns the PDF or photo into text. On its own this is plain OCR, which does not know which number is the total.
- Understands the fields. A model picks out the supplier, GSTIN, invoice number and date, line items, taxable value, and CGST, SGST, or IGST, whatever the supplier's layout.
- Maps to your Tally. It matches the supplier to an existing ledger, items to stock items, and the tax to your input ledgers, using the supplier's state and your past entries.
- Waits for approval. A draft purchase voucher is prepared. Someone checks the flagged fields and approves, and only then does the entry land in TallyPrime.
Your options, compared
| Option | Input | How it posts | Watch out for |
|---|---|---|---|
| Manual F9 entry | You type each bill | Directly, as you save | Typos in invoice numbers, duplicates, hours of effort |
| Excel import (TallyPrime 4.0+) | A prepared spreadsheet | Imported vouchers after mapping | Someone still has to build the sheet from the bills |
| Docs by Ira (Tally add-on) | PDF or image, one invoice per file | Draft vouchers you review and accept | No handwritten or non-English bills; check release and usage terms |
| KolossusAI bulk bill import | A batch of PDFs and photos, uploaded together | Purchase vouchers after approval, unsure bills held for review | Faded or partial photos still need a human check |
How accurate is it, and what still needs a person?
Digital PDFs generated by a supplier's billing software read very reliably. Phone photos of printed bills read well when the whole page is in frame and in focus. Accuracy drops on faded thermal prints, handwritten additions, and stamps over the totals, which is why a review step is not optional.
The judgement calls stay with the accountant: which ledger an unusual expense belongs to, whether a bill falls under reverse charge, and whether credit is eligible at all. Good tools surface these as questions instead of guessing. The step-by-step manual method, with GST examples, is in our guide to purchase entry in Tally Prime with GST.
Where bulk AI import fits
Docs by Ira is a sensible choice when bills come in a few at a time. When a distributor receives 200 bills a month from 40 suppliers, half on email and half as WhatsApp photos, the work is in the batch: sorting, spotting the bill that arrived twice, and getting the month done before returns are due.
That is the job Tally automation with AI is built for. KolossusAI takes the whole month in one upload, matches each bill to the supplier ledger and stock items already in your Tally, splits the GST, flags duplicates, and posts the vouchers you approve. The same plan covers bank statement import, one-click entries, and chat with your Tally, for ₹10,000 a year on web and mobile with a 14-day free trial.
